You know you should be working on it, but you’ve refilled your water bottle 5 times, done your client service work, checked all your social media, completed some online business training, and are reading any blog you can find. And then the activity you have been dreading is now due and the deadline has been missed. For some, this procrastination cycle just keeps repeating. It’s normal to procrastinate, most times because a task is overwhelming or you don’t like doing it even though you are the only one who can do it, but it is probably affecting your business more than you realize. \n\nWhy Do You Procrastinate?\nUnderstanding why you are not working on something can help you to manage it. Piers Steel, who wrote The Procrastination Equation states that procrastination occurs for three distinct reasons:\n1.\tLack of self-confidence to achieve a goal.\n2.\tNot interested in the task.\n3.\tDistracted by impulsive behavior.\n\nAccording to Steel, if you do not value or expect that you will achieve your goal, you are more likely to procrastinate in some aspect of it. If you are influenced by short-term gratifications, you can also be distracted from reaching your goal. These distractions steal time away from what you should be working on and cause you to lose productivity and motivation.\n\nHow Can I Reduce or Stop Procrastinating (you might be wondering)? \n\nLet’s explore 9 tips that will help you.\n1.\tAnnounce Your Goals. Telling people about what you want to achieve holds you more accountable to it. I strongly suggest you also want to write about it or write it down for your own purposes. Revisit or talk about it often, so that it does not stray too far from you mind. Tracking your goals also helps you to not procrastinate because you know where you are at against your annual goals at any given moment in time. You can easily measure the progress you are making. \n\n2.\tBreak it Down. Cut your task into smaller pieces that are more manageable to handle. You’ll find that you feel like your workload is not quite as overwhelming and you will be able to knock off a couple of tasks in no time. It is easier to make progress on tasks when you have them broken down into smaller pieces. \n\n3.\tMake a Timeline. Having one deadline for a project is pure procrastination. If your business is not growing, you need to get a handle on the way you’re running it. Many business owners tend to spend a great amount of time performing unnecessary tasks that contribute little to the growth of your business. The 80/20 rule, otherwise known as the Pareto Principle, teaches that only 20% of your actions should lead to 80% of your results. Get a handle on your business by putting the 80/20 rule into effect and identifying your high payoff tasks.

The 80/20 Rule (Pareto Principle) Explained

Developed in the early 19th century by Vilfredo Pareto, an Italian economist, the Pareto Principle was used to explain why only 20% of the population was responsible for 80% of the country’s wealth. It was later in the mid-1900s that the theory of the Pareto Principle was modified by Dr. Joseph Duran. When applied to cause and effect, he theorized that 20% of actions (cause) would produce 80% of the end results (effect). Because Duran’s theory expanded on Pareto’s original version of the 80/20 rule, Dr. Duran’s theory soon became known solely as the Pareto Principle.

What the Pareto Principle Means for Your Business

The 80/20 rule can be applied to pretty much any situation, but, it is especially beneficial when applied to a business (especially if you’re currently a one person show). The 80/20 rule isn’t just another ordinary time/business management method; when used effectively, it holds the power to drastically increase your income and free up your very valuable time, allowing your business to grow.

Maybe this means that you can cut down on staff by weeding out tasks that are completely unnecessary by setting up an automated system. Perhaps it means that it is time for you to hire an assistant or virtual assistant to whom you can delegate low-priority tasks. Using the 80/20 rule to identify the high payoff tasks within your business and automate the low-priority or non-income driving tasks will allow you the freedom you need to grow revenue.

How you handle these obstacles will go a long way toward determining the atmosphere of your office. Will the office be a space where you and your team can speak and work freely, or will it be a place that stifles creativity and operates out of fear discipline? All workplaces are comprised of imperfect individuals that have good intentions but will still inevitably fail, struggle, or cause conflict. Mistakes happen, errors will be made, and feelings might get hurt. Having a plan in place for how you will respond to these things and mitigate the fallout will set you on a path to a peaceful and successful work environment. \n\nWhen difficult times arise, consider trying out one or more of the following five proven strategies:\n\n1. Practice Patience\nA good rule of thumb when faced with a difficult situation like a disgruntled employee or a grumpy client is to take a deep breath and just listen. Many times, if you can help the person you are interacting with feel heard, the situation will de-escalate on its own. We all long to be understood and valued, so when you patiently give those around you ample space to air their grievances and vent their frustrations (even if they are unfounded or if you disagree with them) you are feeding the side of them that longs to be seen and appreciated. Once they are done talking, take a brief moment to gather your own thoughts; then, calmly restate what they said to you and work with them to achieve a solution that works for everyone involved.\n\n2. Grow in Gratitude\nIf you can cultivate an office culture of thankfulness, you may be surprised at how much the attitudes of everyone in your workspace elevate. It brings clarity and focus to your daily life. It also provides the absolute satisfaction of having laid-out steps and processes to follow every day.\n\nRoutines feel like a planned-out day where everything is scheduled to go ahead without a hitch.\n\nSuccessful entrepreneurs make use of routines in their lives. This has helped them organize their activities, improve their productivity, and give them a clear and uncluttered focus of their life and business goals.\n\nTo align your business goals with your daily activities and tasks, these are 6 routines of highly successful entrepreneurs you can emulate.\n\n1. Morning Routine\nDo you have a morning routine? Do you wake up early in the morning, or do you sleep late into the morning?\n\nMost successful entrepreneurs wake up very early in the morning and have a morning routine. It can be meditating, exercising, or having a leisurely breakfast. A routine can be responding to emails, or reading business memos and industry updates, which I don’t recommend you do first thing after waking up. It can also be reviewing and planning their time blocks and scheduling other activities for the day.\n\nWhen you get up early, you have the advantage of being aware of an unencumbered peace and quiet. This can allow you to focus on personal or business activities without interruption. It also allows you to be available and ahead of demands. \n\nHaving a morning routine also helps you feel confident and focused on the challenges the day may bring.\n\n2. No Limit on Workdays\nThough it is very important to have rest days, successful entrepreneurs are known to work when they don’t have to. \n\nWeekends blur into holidays and vacation days blur into workdays for many successful businesspeople. This shows that they are highly focused and committed to the tasks that they are ready to achieve.\n\nThey have no set limitation on a day and are set to work whenever inspiration strikes. \n\nCarry a notepad and a pen to jot down innovative ideas that may strike when you are doing something unrelated to work, or take notes on your phone (whichever works the best for you).
