We all have 365 days in a year. The only difference between the successful people and the mediocre is what we do with each day. We spend every second of every day doing something. Are those activities moving you forward or keeping you where you currently are?

5 Benefits Focus Brings to Your Life and Work

Do you multi-task? Do you know that those who multi-task are not as effective or as efficient as those who focus their efforts on one task at a time? It’s true. When you divide your efforts and your thoughts among different and differing tasks, you are doing a disservice to yourself and to the tasks you’re attempting to finish. When you’re focused, you are honing in on the completion of one task. Focus helps you give all your attention to the project in front of you. Focus also helps you complete more projects rather than having multiple projects in various stages of completion. You will feel better, happier and more motivated to work on the next task when you can cross one off your current to-do list. Let’s explore five benefits that focus will bring to your work and your life. 1. Your stress levels will plummet. When you’re focusing on more than one task at a time you will feel overwhelmed. Lack of focus makes you feel as though you have too much to do and not enough time to do it. In fact, you probably don’t have as much on your plate as you imagine, you just have too many things on your plate in various stages of completion, but you’re not checking anything off your to-do list. It’s the multiple incomplete projects that add to your stress and to your feeling of overwhelm. Focus will enhance your clarity and that will let you clearly see the path ahead and allows you to focus your efforts toward making great progress. When you’re not focused you likely feel unmotivated, frustrated and more stressed! 2. Focus enhances momentum. When you see that you’re completing items and checking them off the to-do list, you feel more motivated to keep up that forward momentum. Making progress is motivating. Seeing progress encourages you to work harder. The snowball effect of making progress is motivating! 3. You will be more engaged. If you have a vested interest in completing a specific project you will be more engaged in it. Chances are you’re not afraid of hard work, but you are fearful or tired of feeling overwhelmed. When you’re overwhelmed, you feel as though “nothing, or not much, is getting done” and that is not motivating. When you’re on a winning team – even if you’re the only one on the team! – you are more engaged in the outcome and the steps to get you there. 4. Focus helps you feel in control. When you’re focused, you are in control of the tasks in front of you and in the steps to achieve the goal. Removing distractions, whether it’s from a messy desk or from co-workers dropping by to chat or if it’s from the house that needs to be vacuumed will help you stay focused on your tasks at hand. It is easy to procrastinate and “blame” it on items “beyond your control” that includes chatting with coworkers or giving in to personal tasks that need to be done if you work from home. Give yourself the grace to understand there are sometimes distractions that are beyond your control, but those instances are likely rare. Know what distracts you and remove them from your day as much as possible. Close the office door. Tell yourself the housework can wait until you break for lunch or you are done working at the end of the day. Reward yourself for being laser focused. 5. Your attitude will change – for the better. When you’re focused you will achieve even more. When you’re positive and optimistic toward achieving your goals, your emotions will change. You will be happier, and you will meet challenges ahead of you with a smile and determination. Your smaller milestones achieved will make the culmination of the larger goals seem within reach. Focus is more important to success than you may imagine. What if your focus helped you attract more clients? If you have a lack of focus, a potential client will see that in your conversations. To be attractive to a client they need to know you are going to focus in on their needs. Clients understand they are not your only client, but they need to feel (and rightly so) that when you’re talking with them, meeting with them, and working on their project, that you are laser focused. Here are three ways in which focus will enhance your successes: 1. You will gain a higher understanding of ways to solve problems. Rather than walking away from a difficult decision or task, you will, instead, focus on a way to solve the issue in front of you. 2. You will get in touch with yourself. When you are focused you are conscientious of what you’re doing. You’re growing and gaining a deeper understanding of who you are, what you do, why you do it and more importantly how you will focus on the goal. 3. Clarity ensues. When you are focused you can better measure progress. You are focused on the goals in front of you and you have a clear way forward. The cobwebs that once clouded your thoughts because of scattered focus fall away. When you’re focused you will feel as though anything is possible – and it just might be! Robby Slaughter is a workflow and productivity expert, and you know how important I think having workflows and being productive are to the success of your business. His consulting practice assists a wide variety of organizations, including Fortune 500 companies, regional non-profits, small businesses and individual entrepreneurs to help increase productivity, simplify workflow and optimize business processes. He discovered that to become more effective and efficient at work, we need to empower individuals with authority and responsibility, and I couldn’t agree more. Here are some questions I asked Robby that you will benefit from by listening to his answers: 1. What is the #1 reason people struggle with being productive at work? Inability to understand the emotional impact of tasks and the people around those tasks. Please elaborate on this for us. 2. When asked, most business professionals tell me they waste about 2-3 hours a day. How can the average business professional become better at time management, so they aren’t wasting so much time each day? Step one is self-forgiveness. Accept that you’re going to have bad days, and forgive yourself. Step two is to identify and manage the distractions and interruptions that impact you. Turn off email notifications. Set your phone to do-not-disturb for 30-minute stretches. Ignore social media. Ask people who call you if they can send you an email instead. What do you recommend people to help them reduce interruptions and distractions that plague most offices? Get out of the office. Go to a conference room or a coffee shop. Work from an empty cubicle for a while. Close your door if you have one, or wear big headphones (even if they aren’t playing any music.) Put up a sign to let people know you are focusing for blocks of time, and put that on your calendar as well. How do you suggested people create their To-Do List, so they make the most progress on their activities? At the very least, try adding a face next to each item, indicating how you feel about the task. Most people can quickly sketch a face with a smile, sadness, anger, boredom, etc. That way you can quickly scan the list for something you’re willing to tackle, keeping the balance of high energy and low energy tasks. Beyond that, asking what tasks can be delegated is especially powerful. Anne: I recommend to my clients that they use, what I call, a Prioritized Action List (PAL) which is like a glorified To-do List. It is simply your To-Do List in priority order and with the highest payoff activities on it that will you to make progress on the achievement of your goals. These are activities that only the business owner or business professional can do and can’t be delegated. Anne: To download my Free Sample Prioritized Action List (PAL) that everyone in your office can use, go to https://www.accountabilitycoach.com/pal-sample/. You can of course use this format to customize your To Do List that may reside online in your contact management system. I consider the PAL a glorified To Do List. 5. What does it mean to have a “workflow?” How can you design and improve on a workflow? It means to have a larger meta-pattern for how you operate. A good example is batching: do you turn on your computer, then go get some coffee, and by the time you return the computer is ready? Do you reply to emails during certain times of day? How do you decide when to call someone and when to send them a text? Anne: To help you be even more effective and efficient, so you can achieve your goals at an accelerated rate, you can delegate more to your team members than you have or might think possible. Stop holding on to things that can be done by someone else and do only those activities that you can do and can’t be done by anyone else. Stop doing revenue generation / business development avoidance activities and delegate more! You should be doing only those activities that only you can do and nobody else can. Successful people are excellent delegators, so work at being an even better delegator and be even more successful. “Don’t communicate to be understood; rather, communicate so as not to be misunderstood” said Dr. John Lund, a well-known author and researcher in the field of human relationships – specifically in the area of communication. This subtle distinction is incredibly important, because it puts the responsibility of understanding on the shoulders of the communicator, not the audience. If you want to communicate with your team and your clients in a way that gets the results you want, you must speak with them in a way that they receive information best, and anticipate their thoughts and needs before you ever enter into a conversation with them. Most people enter into a conversation that you are about to have with them wondering: • What do they want from me? • How long is this going to take? • Do I care about what they are saying to me? • How is what they are saying going to help or benefit me? If you are speaking with employees, they may also be thinking: • Am I in trouble; have I done something wrong? • Is my workload going to be made heavier? • I have work to finish before I can go home - how long will this take? If you can find a way to manage conversation expectations from the very beginning, the chances of the person you are speaking to actually listening to what you have to say and engaging with you goes up exponentially. Clearly State Your Purpose Before you get into the meat of the conversation with a client or employee, it is best to come right out and address what the conversation is about and also address any of the previously mentioned questions they may be thinking. This could look like: “Hello (client name), I wanted to talk to you about (state your purpose or conversation goal) – it should only take about fifteen minutes and I really think that it will benefit you personally/your business/your bottom line/etc.” In just a few short words, you have clearly outlined what you expect to discuss with them, you have offered them an idea of how long you expect the discussion to take, and you have outlined a glimpse of how you think the conversation topic will benefit or affect them. If you need to speak with an employee about a disciplinary issue, for example, you could say, “Hello (employee name); I need to discuss (state the infraction) with you; it should only take a few minutes, and while I am disappointed to have to address this with you, I value you as an employee and think we can work through this quickly together.” By getting to the point immediately, you let your employee know what the conversation is about, and you quickly reassure them that their job is not in jeopardy, and this does not have to be a long, drawn-out, painful conversation. Be a Better Listener Than You Are a Talker When you were a child, your mother or father may have told you, “you have two ears to hear, one mouth to speak – this is so you spend twice as much time listening as you do talking.” While this is true of childhood, it is even more true and important in adulthood – especially for business owners that want to take their company and their communication skills to the next level. If you want to foster a spirit of open, effective communication in your business that is open-ended and also gets fantastic results, you need to create a culture where listening and engaging openly with others is second nature. Being a good listener does not come naturally to most people. In fact, many people spend their “listening” time just thinking to themselves about what they are going to say once the person they are talking to is done speaking. If you take the time to truly hear and understand what others are communicating to you, you will gain their trust and make them feel heard, appreciated, and understood. Why does good listening and solid communication matter so much? Studies suggest that companies that have an open communication policy and that engage positively and consistently with one another see up to 19% growth in operating income. On the other hand, the same studies showed that companies that had consistently poor communication posted up to 32% less revenue growth. The bottom line is: if you want high-level results within your company and with your clients, you need to make consistent and effective communication a priority. That means taking ownership over each and every conversation so that you preemptively meet the needs and unspoken problems that your employees and clients may have going into a conversation. It also means creating an environment that encourages listening and feedback. Take some time this week to evaluate your current communication processes; consider what is working and where you are falling short. Once you have this information, pick one area of shortcoming to improve in the next few days. It could be related to implementing new policies or just having a difficult conversation you have been putting off. Becoming an entrepreneur can be one of the most unnerving ventures in your entire life. Just when you thought you knew it all, you find out you’re just a student trying to make the grade. So, what do you do when your confidence takes a hit? Follow these 6 tips we will be exploring for gaining even more confidence. 1. Start with what you know If you’re a new business owner, start with what you know. If you know your stuff, in and out, you’re bound to make a lasting impression with your clients and prospects. Create a specific outline to the benefits of your services or products, and then be sure to deliver what you’ve promised. Don’t worry about being the expert, just start with what you know because that’s where your greatest confidence lies. 2. Have an insatiable thirst for knowledge Your business will not survive unless you continually learn, nor will your confidence grow. When you don’t learn new things, you cannot offer expanded products or service, and that is a death sentence to your business. The market and demand are constantly changing and if you don’t change with it, you’ll be left behind. The more you know the more benefits you can deliver to your clients. Keep learning and you’ll keep gaining confidence. 3. Know your target audience Most entrepreneurs think they know what their clients need and want, but rarely do they truly understand how to market and deliver the right products and services to the right people. Invest in research so you have a full snapshot of your market. Without it, you can only hope for successful sales and business growth. Survey your clients and prospects to learn more about them. The more you know about them, the easier it will be to create products and services that deliver exactly what they’re looking for. Some resources for web surveys are surveymonkey.com, zoomerang.com, zohosurvey.com, surveygizmo.com, etc. Check out all the options and use the best one for your survey. 4. Try something new every day We all get used to routines, because we like to stay within our comfort zone. However, it’s staying within that comfort zone that keeps us from gaining confidence. Knowing what you know now will only get you so far – and I regret to point out, that is not very far. As an entrepreneur, you must constantly push yourself outside your comfort zone to learn and do more. This not only benefits you, but it also benefits your clients, which will only grow your business. “If comfort is your goal, success is NOT in your future.” --Bill Bachrach, CSP, CPAE 5. Have unwavering optimism There are only two outlooks you can have on life and in business. Either the world is your oyster or it’s out to get you. It is only the latter that will not support your success and confidence. If you are an entrepreneur and you think the world is out to get you, chances are it will deliver. Your perception is everything! Having an unwavering optimism will constantly be fed creative ideas to increase your success. Obstacles will melt, challenges will be seen as opportunity, and you will have peace of mind that you can conquer anything. 6. Success breeds confidence When you are facing a situation that takes you outside your comfort zone, keep taking steps forward. Even if you have to take baby steps, at least they are steps in the right direction. Trying something new isn’t always easy, but take action before the nerves have time to settle in. The longer you wait, the more your confidence wavers, and the likelihood you will talk yourself out of taking action increases. Remember, success breeds confidence, so if you have to take baby steps to make it to the finish line – that’s okay – just keep moving forward. Being an entrepreneur is not about being the expert, although you may one day reach that status. For the time being, focus on what you know and become the best at it that you can. Commit to learning more, so you can deliver more to your clients; and your business is bound to grow with you. Continue taking steps forward, even if you stumble the first time. Don’t worry, you’ll get better with time; every entrepreneur has to find his or her way, and believe me, there is not one entrepreneur out there that hasn’t stumbled along the way. The good news is that your clients don’t have to know when you stumble. Continue to accomplish little successes along the way and know that your confidence grows with each step forward. It may help you to keep a log of what works and doesn’t work, so you can go back and review it before taking future steps. If something didn’t work, tweak it with a set of creative eyes and try it again. Eventually the pieces will fall into place and you’ll become better at succeeding on the first attempt. Today we are talking about 4 Benefits of Embracing Change to Increase Business Success. You don’t need anyone to tell you that the world is undergoing many changes right now, that’s pretty obvious. What may not be so obvious is your ability to adapt to the changes that are necessary for your business to survive and thrive in the changing market. How do you set yourself up for success when global changes are affecting the future of your business? You find out where the change is headed and adapt to meet the demand. Hypothetically, you could resist changes in the market and stand stubbornly in your comfort zone. The major drawback to that would be that you would probably be sinking in quicksand – and taking your business with you. Embracing change is important for everyone to embrace. The ability to adapt to change, and even welcome it, is absolutely essential to the success of your business and life. What happens when you fight change? That’s pretty simple; instead of embracing change and adapting to it, you spent hours of energy fighting it – only to have to surrender to it in the end. The fight didn’t make it any easier, nor did it prevent the change from occurring. So why waste all the time and emotional energy to fight something that is inevitable? Let’s take a look at 4 things that can happen when you embrace change. 1. You may uncover a problem you didn’t know existed It’s easy to become complacent when things seem to be going well, and put the blinders on when everything around you is stuck in a rut. When you deal with the same pattern, over and over again, you lose perspective of what is working and what isn’t working. Continually having a healthy perspective and a finger on the pulse of your business is very valuable and important. As an entrepreneur, it is essential that you are running your business with the greatest efficiency and profit. If you don’t know what your big money maker is or if you’re marketing plan doesn’t have a successful ROI, you’ve got a problem. Research what drives other successful businesses and accomplishes the goals you have in sight. Identify what works and then copy that model to your own business. Change and improve what isn’t working and you’ll be setting your business up for success. In addition, take a forward-thinking approach to your industry to anticipate changes that can affect you, and be willing to change or adjust quickly if needed. 2. The easy part is integration and adaptation Many people resist change for the simple fact they are fearful of pain or the outcome. The truth is that once you get past the resistance, integration and adaptation are easy. As humans, we are inherently creative and that allows us to adapt much more easily than we presume upon first perception. Remind yourself that you will have a much tougher go at change if you choose to fight it. Embracing it merely employs your inherent ability to adapt to a changing environment. Apply that creativity to your business, and you’ll find that it is much more flexible than you initially thought. As an entrepreneur, you have an enormous advantage over larger organizations in your industry, simple because it is more difficult for them to change or adapt quickly. While large organizations are struggling to adjust quickly to meet unexpected change, you can use their lag time to your advantage, and make changes quickly, to increase revenue and gain positive exposure. 3. Make room for more success Your success only expands as far as you expand. Change allows you to grow and expand your perceptions, beliefs and performance – and that’s what you want because your success will come in direct proportion. In order to make room for the new, you must do away with the old. Look at embracing change as your opportunity to embrace the success you have always desired. Of course, you could also look at it another way. For every piece of resistance that you put up against change, you are also resisting a piece of your success. Don’t let limiting beliefs hold you back or fear of the unknown. Think – what’s the worst that can happen? More times than not change will have a very positive outcome in your business. Now what do you think about embracing change? 4. You may get more of what you want and release what you don’t want Here’s a popular quote by WL Bateman that sums it all up, “If you keep on doing what you've always done, you'll keep on getting what you've always got.” This could not have been more accurate when applied to your business and life. If you want different results, you are going to have to do things differently - even if they’re a little uncomfortable. If you don’t like what you’ve been getting, then change what you’re doing. Living this principle is one of the greatest opportunities to learn what happens when you embrace change by welcoming what you want and releasing what you don’t want.
