Boss It Podcast

Boss It Podcast

Sophia Syed

Hi All! All my name is Sophia! The aim of the podcast is to provide tangible advice for women entrepreneurs in areas of business, health and self-help. Each episode will have a few action items that the listener can apply if the episode resonated with them - hence the tag line "Make a plan, take action" . I'll give you my background in a nutshell: I am a registered physiotherapist in Canada but moved into leadership at a local hospital. Then went part-time as a manager at a publicly funded medical clinic, so I could grow my product based startup. This brand new biz landed into Walmart Canada last spring. A lot of ladies have been asking for help with their startup because they saw such fast growth of my product based company (the company name is Also Sophia) and so I thought a podcast would be a great way to reach a larger audience. Hope you enjoy!xoxo Sophia

Try a “walking meeting” to ensure you are walking enough steps each day.

Boss It Podcast - Episode 84 | Why Hire a Virtual Assistant?
play

04/12/22 • 14 min

Why hire a virtual assistant (VA)? This is a great question and it’s more than just taking items off your to-do list! Let me break it down so you can start considering the option of hiring a VA as you start and scale your business!

  1. Learning the art of delegation! - Delegation is a key skill you will need to master! You not only will learn how to delegate but also more about yourself, your leadership style, and communication effectiveness
  2. Work smarter by removing repetitive tasks from your to-do list! This will allow you more white space in your calendar to create in your business and lead the business to the next goal!
  3. Having a VA will keep your momentum going! You are accountable to your VA and as a result, you are more likely to stick to the tasks that are designed to be yours. For example, I have the required task of recording this show each week and our amazing editing team will take care of the rest! I may not have continued with podcast/YouTube recording and filming if it were not for me being accountable to my team to produce the creatives! This has helped me keep up with the momentum!
  4. Bonus tip on how I work with my VA team- Watch/listen until the end to find out!! This bonus tip has saved me loads of time and helped with communication, so it’s a must!

Innovating your business means stepping up your game. Do you think that AI tools are the game-changer you need in 2023?

Artificial intelligence, or AI, is indeed a powerful tool, and the good news is that you can implement it into your business operations! Utilizing AI tools can boost your productivity as it can handle your tasks promptly, allowing you to move to your other strategic activities. This enables you to leverage your skills while spending less on the areas of your business operations that can be handled by AI tools.
Let me share with you my top 3 AI tools you need in 2023 to scale your business:

  1. Fireflies.ai - an AI note-taking tool that transcribes your entire meeting and put the notes succinctly into meeting notes. It will not just help you focus more on your meeting but will also allow you to take those notes and transform them into other forms of educational content.
  2. Open AI’s Chat GPT - an AI-powered natural language processing tool that can provide answers to your questions and help you with tasks like email composition. Personally, it has been helping me with idea generation and when writing lengthy letters.
  3. Shopify Inbox - a chatbot that acts as our customer service tool on our website, alsosophia.com. And it's great because if we're not available and a customer needs our service, it will respond on our behalf.

With so many dependents, time management is a skill that you can master!
As many of you know, I have a booming side hustle Also Sophia LTD (on Walmart shelves currently), working my 9-5 currently and yes, I am a MOM! I’m not telling you all of this to brag, but to give you context on why time management is so important for me to manage the time in my day.
Here are my best tips that you can put into action!

  1. Choose the best time to complete your deliverables that will align with your, energy level, attention, and creativity. For example, I will do high-priority deliverables that require a high level of attention between the hours of 10 am to 12 pm when my attention and energy are at the peak of the day. Segmenting your day will help you not only manage your time but also your energy level so you make the most out of the time that you have! “Remember, you own your calendar, your calendar doesn’t own you”.
  2. Segment the days of your week. Chuck out your daily theme for the day of the week to help you get into the daily flow. For those who work from home, this would help you manage the time on the road, by completing all in-person meetings in one day (if possible). For example, I have all external community meetings on Thursdays and all internal meetings on Tuesdays and Fridays. This leaves Mondays and Wednesdays as office/catch-up days.
  3. Do a Daily Shut Down, where you close your browser tabs, organize files, and take your inbox to ZERO! This will help you segment your day so your “work life” doesn’t run into your Home Life or social calendar. If there is an item that is not completed or a to-do that didn’t get completed, I schedule time for this item into my calendar!
